For any integration with Fortnox, whether from your point-of-sale system such as Trivec or your property management system such as Mews or StayNTouch, VAT rates must be mapped to the corresponding VAT accounts within Fortnox. It's important to note that these VAT accounts are separate from the standard accounts you would normally find in your regular chart of accounts, and they serve a specific purpose in how VAT is recorded.
This guide walks you through the process step by step, helping you identify the correct VAT accounts, avoid common points of confusion, and ensure your integration is configured correctly from the start.
How to locate the correct VAT accounts
In order to locate the correct VAT accounts in Fortnox and provide these to us within Base for your onboarding, or as part of a support ticket if we do not yet have the correct accounts on file, please follow the steps below.
First, navigate to your Fortnox environment. On the home page, in the top right corner, you'll find a gear icon (⛭) representing your settings. Click on this icon, then select 'Accounting' from the menu.

Once you've navigated to the accounting section, you should see an overview similar to the first image below. From there, select 'Predefined account', which appears in Swedish as fördefinierade konton.
After clicking on this option, a new section will open. You can see this highlighted in the black box in the second image below. On the right side of that box, you'll find a list of VAT accounts, each one linked to a specific VAT rate. In most cases, businesses use very similar account codes, since these are largely standardized within Fortnox.
Based on what we typically see across businesses, the most common setup is as follows:
2611 – 25% VAT (sometimes 2610)
2621 – 12% VAT (sometimes 2620)
2631 – 6% VAT (sometimes 2630)
Note: these VAT account codes can vary slightly depending on how your specific Fortnox environment has been configured, so it's always worth confirming against your own settings rather than assuming they match exactly.
