How Cash Tips Flow from Toast to Your Accounting
When reviewing your daily financial postings, you may notice that cash tips are handled differently from regular sales and credit card tips.
Credit card tips are tied directly to guest checks and payment authorizations. Cash tips, on the other hand, are never rung up on a sales receipt because guests hand cash directly to staff or leave it on tables. As a result, cash tips do not exist in your POS sales or order data.
Instead, Toast captures cash tips through labor data. When team members close their shifts on the Toast terminal and complete their Shift Review, Toast prompts them to declare the cash tips they earned. Omniboost queries these completed shift and time-entry records for each business day and automatically incorporates the declared totals into your daily financial journal.
Why Cash Tips Require an Offset Line
Because cash tips do not originate from an incoming bill payment in the POS, booking them requires a balanced, two-sided journal entry:
Cash Visibility: If your venue pools or tracks cash through the house, the declared tip cash must be accounted for on your cash ledger.
Tip Liability and Payroll Reporting: The business either holds this cash to pay out through payroll or needs a record of tips declared by staff for tax and wage reporting.
The Balanced Two-Sided Solution
To maintain proper double-entry balance, Omniboost records two matching lines within the same daily posting:
Cash Tips Line: Debited as an increase to your designated cash account, reflecting the total cash tip amount declared by staff.
Cash Tips Offset Line: Credited to your designated tips payable or payroll clearing account for the exact same amount.
Because both lines mirror each other down to the cent, the daily journal entry remains in balance while providing your finance and payroll teams with full transparency.
Understanding Your Daily Journal Entry
Below is an example of how declared cash tips appear in your accounting system alongside standard cash receipts and sales revenue.
Note: The account codes and names shown below and in the images are for illustration purposes. The exact accounts used will depend on your organization's chart of accounts.
As shown in the journal entry above:
Payments - Cash: In this example, Account 1074 (Cash) receives an increase of $653.25 for physical cash collected from closed guest checks.
Cash Tips: Account 1074 (Cash) also receives an increase of $200.75 for the total cash tips declared across employee shift reviews.
Cash Tips - Offset: Account 2213 (Tips Offset / Liability) receives a credit of $200.75, establishing the offsetting liability for payroll or tip distribution.
Together, the total movement on the cash clearing account is $854.00 ($653.25 sales cash plus $200.75 declared tips), while the tips offset account accurately tracks the declared tips owed to staff.
How Cash Tips Are Retrieved from Toast
The automated retrieval process follows a specific sequence:
Employee Shift Review: When team members clock out or finish their shift, they complete their Shift Review on the Toast terminal. During this step, they enter their total declared cash tips.
Time Entry Extraction: During the nightly sync, Omniboost calls Toast to retrieve all time entries and closed shifts that fall within that business date's trading window.
Summary Aggregation: The integration sums all declared cash tips across all employees for that day and posts the total as the consolidated Cash Tips and Cash Tips Offset lines.
Why Cash Tips Might Be Missing or Showing as Zero
If cash tips do not appear in your accounting entry or show as zero for a specific trading day, it is almost always due to one of the following operational scenarios:
Shift Reviews Were Not Completed Before the Sync
Toast only finalizes declared tips once an employee completes and submits their Shift Review on the POS terminal. If an employee forgot to clock out, or if a manager has not approved and closed out pending shift reviews before the scheduled nightly sync runs, the tip data is not yet available in Toast. Once those shift reviews are closed in Toast, the day can be re-synced to pull the finalized figures.
Employees Declared Zero or Skipped the Prompt
If staff members enter $0.00 or skip the cash tip declaration screen when closing their shift, Toast records zero declared cash tips. The integration can only sync the values that staff submit on the terminal.
Tip Declarations Are Disabled in Toast Settings
In Toast POS configuration, the prompt to declare cash tips during shift review can be enabled or disabled by job role. If the setting is switched off or not assigned to a role, staff will not be prompted to enter cash tips.
Cash Tips Are Kept Directly Without POS Tracking
If venue policy permits staff to take their cash tips home at the end of the shift without recording them in Toast, there will be no labor records in the POS for the integration to retrieve.
Best Practices for Seamless Reconciliations
To ensure cash tip data is always accurate and complete:
Remind staff to complete their Shift Review and declare their cash tips before leaving at the end of each shift.
Have managers review and close any open shifts or time entries before the end-of-day cutoff.
Ensure your Cash Tips line is linked to your preferred cash clearing account and your Cash Tips Offset line is linked to your designated tips offset or payroll clearing account.
