Bronze Tier Feature

1. Revenue Transfer (Aggregated by Accounting Category)

2. Payment Transfer (Aggregated by Accounting Category)

3. VAT and/or Tax (Aggregated by VAT/Tax codes or VAT/Tax ledger account

codes)

4. Accounts Receivables (Sales Entries + Debtor Information)

Accounts Receivable (A/R) entries refer to revenues consumed by already checked-out guests who have not yet paid for their open bill (invoice). Debtor account information is also part of Accounts Receivable entries.

In case you wish A/R entries to be transferred from MEWS PMS to your accounting platform and in case A/R entries are available within the accounting connection, your Omniboost representative can enable the A/R feature for your property.

Silver Tier Feature

5. Accounting Code Field usage for Debtor Number

In the Bronze Tier, the (basic) integration automatically generates debtor numbers by retrieving a numerical value created in the PMS for each guest or company. This debtor number becomes part of the debtor account information, which also includes invoice number, amount, VAT, and address details. Configuration options allow you to define the length of the debtor number (e.g., 8 digits) and whether a prefix should be added (e.g., prefix “5000”).

Silver Tier

In the Silver Tier, instead of using PMS-generated debtor numbers, the integration leverages existing debtor numbers already defined in the accounting system. The company “Number” from Mews can be posted with a default prefix (e.g., “XYZ”), and for DATEV this prefix can be customized to meet your specific requirements. This provides greater flexibility and ensures consistency in debtor management.

Practical note

When switching PMS providers, new debtor numbers are often generated. These may no longer align with debtor numbers already in your accounting system. The Silver Tier setup helps avoid mismatches by allowing you to continue using your existing accounting system debtor numbers.

6. Detailed Revenue Entries & Detailed Payment Entries

By default, Omniboost accounting connections transfer Revenue Entries and Payment Entries in an aggregated way (based on the Accounting Category level). It is also possible to transfer MEWS Revenue entries into your accounting platform in a more detailed way.

Bronze basic integration: one line per accounting category for both revenue and payments.

Detailed mode: send each underlying transaction line instead of the single aggregated line. Useful for analysis, but can explode line counts. Enable per accounting category on request.

Closed flow note: customers often already see multiple lines per bill because the journal already splits into several lines by nature of the documents.

Please discuss with your Omniboost representative whether the Detailed Revenue Entry or Detailed Payment feature is available in your accounting connection. Enabling this option will provide you with deeper insights into your revenue streams coming from the PMS.

7. Skipping Revenue Entries

By default, the integration transfers revenue entries into your accounting system (aggregated or detailed). In some cases, you may prefer not to import revenue data from the PMS, for example if revenue is already booked manually or through another process. Enabling this option will skip revenue entries altogether, preventing duplicates and keeping your accounting records consistent.

8. Skipping Payment Entries

Similar to revenue, payment entries are also transferred by default. If your payment data is managed outside of the PMS (e.g., via your PSP or bank imports), you can choose to skip payment entries in the integration. This ensures that only the relevant data flows into your accounting platform, avoiding reconciliation conflicts and reducing unnecessary line items.

9. Credit Card Fee Split – Commission Calculation

In the PMS, credit card payments are shown as gross amounts, while the bank only receives net payments after commission fees. The integration can split these estimated fees into separate ledger accounts (e.g., one for Visa and one for Mastercard). PMS records contain estimated “pseudo payments” (registrations), while the actual bank transfers usually arrive 4–6 days later.

How it works

Credit card providers (e.g., Visa, Mastercard) charge a small percentage fee on each processed transaction. Payments in the Mews Accounting Report are therefore gross amounts. The actual payment received in your bank account will be slightly lower, as it equals:

Gross Payment = Net Payment (bank amount) + Credit Card Fees

The Omniboost accounting connection can automatically split the estimated credit card fees from the gross payment and post them to a ledger account code specified by you.

Please consult with your Omniboost representative to confirm whether the Credit Card Fee Split feature is available in your accounting connection.

10. Online Travel Agent (OTA) Debtor Enablement

For reservations received via Online Travel Agents (e.g., Booking.com, Expedia), the integration can create dedicated debtor accounts. This allows OTA balances to be tracked separately from direct customer debtors, providing clearer visibility into outstanding amounts per channel and simplifying reconciliation of OTA commissions and payments.

11. Suspense Account Debtors

In cases where debtor information is incomplete or unavailable (e.g., missing invoice or guest data), the integration can post entries temporarily to a suspense account. This ensures that financial data still flows into your accounting platform without interruption, while flagged items can be reviewed and reclassified later by your accountant. Common when dealing with group reservations and or missing complete billing details.

12. API-based DATEV integration

Within the Bronze Tier, data is transferred via a file-based integration. This requires a team member to manually export a file from Mews and import it into DATEV on a daily, weekly, or monthly basis.

With the API-based integration, this process is fully automated:

  • No more manual exports and imports

  • No dependency on staff to perform uploads

  • Reduced risk of delays or errors from missed or incorrect files

  • Financial data is kept continuously up to date in DATEV

Why it matters

  • Customers running weekly or monthly exports only see their figures in DATEV once the file is uploaded. With the API integration, figures are updated daily, giving you more accurate and timely insights into your business.

  • A daily manual export/import takes ~5 minutes. Over a 30-day month, that equals 150 minutes (2.5 hours) of repetitive work. Switching to API frees up this time and allows finance staff to focus on higher-value activities instead of routine uploads.

The API-based integration not only saves time but also ensures that your accounting data in DATEV is always current, a major advantage for reporting, reconciliation, and decision-making.

13. Invoice PDF Transfer (DATEV only)

Invoice PDFs can be automatically sent to your preferred email addresses, which are most commonly set to the inboxes of your finance team for seamless internal processing.

This ensures that your accounting team receives all source documents directly by email, supporting audit trails, compliance requirements, and easier access to invoices without needing to log in to the PMS.

14. Cash Payment Journal (DATEV only)
In markets such as Germany, where cash payments are still widely used, accurate handling of cash transactions is essential. With the Cash Payment Journal feature, cash payments recorded in Mews can be transferred into DATEV as separate journal entries.

This ensures that all cash activity (from Mews’ Payment report) is transparently reflected in the accounting system, supporting proper reconciliation and compliance with local accounting standards. The feature is currently available exclusively for DATEV integrations.

If you notice transactions that appear in the Payment report but not in the Accounting report, let us know. Many customers enable the Cash Payment Journal to get better control over cash, for example when a guest pays 50 at the bar for a 30 charge and 20 change needs to be reflected.

Gold Tier Features

15. Statistics

Depending on the accounting system connected to Mews, the integration can also transfer statistical information alongside financial data. Examples include occupancy, available rooms, number of guests, arrivals, and departures.

For instance, in the Mews to Visma Net integration, statistics can be retrieved from the following reports:

  • MEWS Manager Report → Available Rooms, Number of Guests, Rooms Out of Order

  • MEWS Reservation Report → Reservations (split by market segment)

  • MEWS Availability Report → Additional metrics (optional, based on hotel needs)

These statistics are automatically mapped to the appropriate ledger codes in Visma Net and can be flagged as either actuals or statistics. This allows you to combine operational metrics with financial reporting, giving a deeper insight into hotel performance.

16. Journal Entry Description Customization

The integration allows you to customize the description text of journal entries sent from Mews to your accounting system. Instead of using standard generic descriptions, you can configure fields such as guest name, invoice number, reservation ID, or other identifiers. This makes journal entries more transparent and easier to reconcile in your accounting system.

17. Revenue and Payment Description Customization

Similar to journal entries, the description of revenue and payment postings can also be tailored. For example, revenue entries can include details such as accounting category, market segment, or posting date, while payment entries can reference payment type or transaction ID. Customizing these descriptions improves clarity and ensures alignment with your internal bookkeeping standards.

18. Accommodation (room) Revenue Breakdown by Market Segment

Accommodation revenue can be posted either as a total amount or broken down by market segment (e.g., business, leisure, group, OTA). Enabling this feature provides more granular reporting in your accounting system, helping you analyze performance per segment and align revenue reporting with management reporting practices.

The most common entry breakdown elements are market segments. Within the Bronze tier, the basic connections send the total revenue of all rooms aggregated, and with this feature this is broken down into room revenue per market segment.

Market segments usually refer to categories like:

  • Business

  • Leisure

  • Group

  • Corporate negotiated

  • OTA (Online Travel Agent)

  • Direct Reservation

19. Ledger Account Mapping on top of Mapping Availability in PMS

Sometimes, accounting environments are setup in such a way that a deep mapping of Ledger Account codes, Cost Center codes, and additional entry breakdown elements are required in the data transfer from the PMS to the accounting system.

At Omniboost we see that the very majority of our clients are able to work with the mapping availabilities within MEWS PMS itself. In case you require a mapping structure on top of the mapping availability in the PMS, please discuss so with your Omniboost representative.

Think for example about:

  • Outlet mapping

  • Market Segment mapping,

If you have statistics enabled, you must link them to a general ledger account, since the PMS itself does not support this mapping.

20. Payment Reconciliation Solution

This is always done in the accounting system. Mostly we send one or multiple identifiers to enrich our PMS to Accounting integration and make it easier to do the reconciliation between the accounting system and the bank.

Some accounting integrations have advanced features to match the bank payments. Payment reconciliation definition: Matching payments sent from PMS with actual bank payments received - always happens within accounting system, not PMS.

Without sending the payment and rev only the guest ledger wouldn’t be in balance. Guest ledger balance requires payment data from PMS since bank payments arrive days later than revenue recognition.

PMS contains 'pseudo payments,' while bank payments have a 4-6 day lag.
